Trade Administrator Job Specification:​

Role Overview:
Embracing Arts are seeking a Trade Administrator to join our charity’s core team to manage the running of the busy trade arm of our charity - our Workshops and Parties services. The Trade Administrator will act as the liaison between Embracing Arts’s core team, our pool of facilitators and our clients: SEND schools, children’s hospices and community venues. The role features a wide range of administration tasks: organising and managing bookings from enquiry stage to completion; quoting, drawing up contracts & sending invoices; booking and liaising with facilitators; managing logistics and gathering/logging feedback. There will also be the opportunity to work with our marketing department to promote our Trade services: building on previous bookings to generate new interest and nurture existing relationships.
Location:
Remote Working (occasional project-based travel is required - travel expenses covered).
Preferable: London or South East base.
Contract:

Freelance Contractor working 6 hours per week, ideally delivering two hours on Mondays, Wednesdays and Fridays

24 hours per month (6 hours per week) @ £18 p/hr

Planned start date: Monday 19th January 2026

Initial 6-month contract (including 3-month introductory period) with rolling extension available thereafter
Person Specification:
This role is well-suited to a candidate passionate about the active inclusion of all members of society; someone with lived experience and/or a drive to support children & families with complex care/educational needs and/or life-limiting conditions. The impact of this role will have a profound effect on our expanding charity’s reach within our Trade delivery, and therefore offers great opportunities for personal and professional growth. The Trade Administrator will work closely with and report directly to the charity’s senior management team.
We are looking for a dynamic, enthusiastic team-player who has the following skills and experience in administration and customer care:
Essential Skills:

Administration and/or customer care experience
-
Pride in working with attention to detail, accuracy and efficiency

Excellent spelling, grammar and mathematical skills

A friendly and professional manner and excellent communication skills

Computer literacy, especially using Google Workspace (particularly Google Sheets and Google Drive )

Excellent organisational skills with the ability to multitask and prioritise
Also Desirable:

UK Driving licence and own car/transport

Space to store some sensory kits during transitions.

Embracing Arts is a theatre company and charity that is dedicated to creating shows, educational workshops and inclusive parties for children with special educational needs and/or life limiting conditions. Our mission is to improve the quality of life for children with complex care or educational needs by providing high quality interactive Christmas shows, Schools Workshops and Inclusive Parties across the UK.
